Interactive management system in the home office

During the Corona crisis, the Aachen-based software and consulting company Modell Aachen GmbH moves digitally together in the Interactive Management System and thus remains fully operational.

An Interactive Management System enables the entire team to access all internal company processes, work instructions and documents - completely independent of their current location. Similar to the web encyclopedia Wikipedia, every employee can view, update or add new content in the management system directly via the browser.

March 2020 will probably go down in history not only as the month when the whole world stayed at home. But also as the month in which companies around the world faced the challenge of the home office. Although politicians have been calling for this for years, many companies still lack the software equipment they need to work efficiently from home.

Efficient cooperation - even in crisis situations

Since mid-March, the 40 or so employees at Modell Aachen have been working entirely from a home office. Thanks to the collaborative management software, Managing Director Dr. Carsten Behrens was able to react quickly to the new requirements associated with the special situation and communicate them immediately to the entire team. Within a few hours, for example, he updated the emergency plan for an economic downturn as well as the regulations for working from home.

In addition, he promptly created a new process description on how to proceed in the company in the event of a Corona illness. From home, his colleagues add to the processes and thus optimize them jointly.

Because managers are heavily involved in crisis management, the distribution of tasks in many companies is chaotic. In this way, the system provides an overview at all times of which to-dos are open and who is responsible for them.

The central work and information platform keeps the employees' backs free, especially in view of the increased stress level during the current emergency situation. Clearly structured, they collect, prioritize and distribute the measures required by the pandemic in a new "Corona protocol" - the entire team is pulling in the same direction.

Digitize analog forms on the fly

The basis for Modell Aachen's interactive management system is the company's own Q.wiki software. In addition to the joint optimization of processes, this software enables even complex processes to be digitized quickly and easily with the help of so-called "no-code digitization" - without a single line of source code and without the help of IT. In times when analogue forms for holiday applications and the like cannot simply be passed from desk to desk, this makes everyday work in the home office much easier.

Using drag and drop, anyone can independently map any workflows in a web application. In this way, an app was spontaneously created that can be used to report suspected cases of Corona in the company. In the event of a suspected case within the company, this enables a rapid response, protects the team from infection and prevents the spread of the virus.

Remaining capable of action and fit for the future

Since important empirical values and relevant knowledge of all employees as well as all open tasks are preserved in the management system, the team of Modell Aachen can also organize itself across departments and support each other from the desk at home. Even if employees with the necessary expertise are absent, the company remains capable of action and fit for the future thanks to continuously maintained process descriptions.
