High performance by tradition
Türmerleim GmbH produces and develops high-performance adhesives for use in wood processing, labelling and the packaging and tobacco industries. With the orgavision software, the company finds a document management system that meets both internal requirements and standards requirements.
"The auditor was visibly impressed by how well structured we are able to meet the increased requirements of the standards," says Michael Viete of the successful recertification in accordance with DIN ISO standards 9001 and 14001. The quality management officer at Türmerleim GmbH is responsible for quality management and the maintenance of the integrated management system. The trained chemical technician has a strong affinity for IT: "My original plan was to work together with our IT manager to replace the previous management system.

ment manual with a self-developed IT platform". This was necessary in order to respond to the 2015 revisions of ISO 9001 and ISO 14001 and to successfully continue the existing certifications.
Even before he starts to put his plan into practice, Viete hears about the orgavision software and orders the free trial access. "We have all the
We implemented documents and forms from our purchasing department - such as process descriptions, procedural and work instructions - in the test version to check how practical the system is for us," says the QM representative. After the four-week test phase, not only he, but also his colleague from IT and the management are convinced: Orgavision is exactly what we need right now. "Standard requirements that would have been very complex for us in programming our own system can be implemented very easily with orgavision," says Viete - and gives an example:
Implement standard requirements easily with modern software
The quality manager had planned to structure all documents describing quality and environmental management as PDF files within a system. This was to be done in such a way that all work and inspection processes, including any changes made during audits, could be displayed. The company also wanted to implement the requirement of ISO 9001 and ISO 14001 for document control in a user-friendly way. According to these standards, the history of a document must be traceable, including version history, review and approval. The challenge here is that if processes or procedures change, it is usually not just one document that needs to be changed. All associated process and work instructions as well as forms must be revised. Documenting this in accordance with standards would be a time-consuming process without the right IT support.
"With orgavision, this challenge was solved," explains Viete. Approval and checking is carried out via a workflow: those responsible for the process receive an e-mail and - if necessary - are reminded of their tasks. Once updated, orgavision transfers the new data to all linked files and documents who changed what and when. Another advantage: In the 130-employee company, there are some confidential documents that must not be accessible to everyone. "In

orgavision, we were able to map our own roles and rights system," says the QM manager. Now it is precisely defined who is allowed to read or change what, and who is not.
High acceptance by users
Every Türmerleim employee at a PC workstation has access to orgavision. "Acceptance is high, and colleagues particularly praise the search function," reports Viete. Similar to Google, the system works with keyword search and auto-completion. Whereas in the past searchers had to spend time looking for a document on drives in different folder structures, today they can find it in a matter of seconds. The comment function is also becoming more and more popular: if, for example, the laboratory assistant has an idea on how to optimise a test method, he can comment on the description stored in the system accordingly. The comments are then sent by e-mail to the persons responsible, such as the respective process owner and the quality management representative.
This makes it easy for employees to make suggestions for improvement. More and more Türmerleim colleagues are using the function and appreciate the fact that they can individually determine the priority of their comments. In addition, everyone can track what becomes of their suggestion, because those responsible for the process collect and document all results in orgavision. From the first idea to the documentation and tracking of concrete measures.
Shine in audits
Türmerleim is now certified according to ISO 9001:2015 and ISO 14001:2015 for quality and environmental management. The quality manager is proud of the first audit carried out with orgavision: the intelligent full-text search, for example, supported the certification process considerably, because all documents belonging to the process appear immediately after entering a test method. "With orgavision, I can look forward to future audits with confidence," says Viete.
